About the Program Management Office

The UCSB Program Management Office (PMO) is a unit within the Office of the CIO of skilled professionals who provide project management, service management, and communications services to the UCSB IT community.

PMO Service Offerings

Program & Project Management Services

We implement a full suite of project management activities, including scope management, resource management, schedule management, risk and issue management, change control, and status reporting. Learn more about Program & Project Management Services.

Project Portfolio Management

We track project information such as names, start and end dates, phase, health, investment category, sponsorship, technical and functional ownership, and project manager for major IT programs and projects managed by UCSB IT units. Learn more about the IT Project Portfolio.

Resource Capacity Management

The Resource Capacity Management initiative aims to improve our ability to plan, allocate, and manage resources efficiently across all ITS departments. With increasing project demands, lack of visibility into resource utilization, and an inconsistent resource allocation process, this initiative seeks to establish a centralized system to optimize workforce productivity, reduce project delays, and ensure that resources are aligned with organizational priorities. Initial implementation of this initiative will lead to significant improvements in operational efficiency, better project outcomes, and a measurable reduction in costs related to resource overuse or underutilization. 

UCPath Service Management 

UCPath Service Management ensures the UCPath system and related services meet the needs of our campus through collaboration with Academic Personnel, Human Resources, Business & Financial Services' Payroll team, and Information Technology Services' Timekeeping System team. This involves: 

  • Incident Management - Restoring normal service operations quickly when unexpected issues arise, minimizing the impact on faculty, staff, and students. 
  • Issue Management - Identifying, tracking, and resolving recurring or underlying problems to prevent disruptions and improve service quality over time. 
  • Change Management - Assessing, planning, and coordinating updates to services and systems in a controlled way that reduces risk and ensures smooth adoption. 
  • Project and Resource Management - Applying practices to plan, budget, and allocate resources to deliver projects on time, within scope, and at the required level of quality. 

All UCPath Service Management activities align with UCOP and the UCPath/OP team to ensure systems evolve with UC needs, providing solutions that are dependable today and adaptable for the future. 

Business Systems Analysis 

Our Business Systems Analysts analyze and document business needs and functional requirements, translate them into clear technical specifications, and collaborate with developers, project managers, and support teams to deliver solutions that integrate seamlessly with the university's enterprise systems, such as student information, learning management, finance, and HR platforms. They also support change management, testing, and continuous improvement to ensure technology investments improve campus operations and deliver measurable value to the university community. 

Communications & Outreach

The Communications & Outreach team plans, implements, and manages a comprehensive communications program for ITS, supporting core IT services, enterprise projects, strategic initiatives, and incident management. We develop and deliver a wide variety of materials to effectively communicate with campus audiences. 

IT Internship Program

We manage the UCSB IT Internship Program, which equips 12 participating undergraduates with practical technical skills in the high-demand field of IT to complement their academic training. Students become well-qualified job candidates in possession of both a high-caliber UC education and practical experience in the modern IT workforce, focusing on areas such as Cloud Services, Computing Infrastructure, Program Management, Application Development, and Business Intelligence.
